PAL Solutions (Pty) Ltd ("PAL Solutions", "we", "us", or "our") develops and supplies the PAL workforce management software system.
1. Important Notice
Our software is primarily an on-premise solution. This means the software is installed and run on our clients’ own servers and infrastructure. We (PAL Solutions) do not host or store employee or HR data in the cloud on behalf of our clients.
The client (your employer) is the data controller of all personal information processed in the PAL system. PAL Solutions acts only as a service provider / operator under their instructions.
2. Dedicated Company Tablets
The PAL mobile applications, Flexi-Clox, PAL Mining Checklist and PAL Service Tech, are installed on dedicated company-provided tablets issued by your employer. These applications should not be installed on personal employee devices. The tablets include built-in fingerprint scanners and NFC capabilities for time and attendance purposes.
3. Android App Permissions on Company Tablets
The PAL application requests the following permissions on the company-provided tablets:

| Access Fine / Coarse Location | For geofencing and site-based time & attendance (only when enabled by your employer). |
| Camera | Optional – for selfie-based attendance verification or document scanning (if enabled by your employer). |
| Biometric / Fingerprint | For secure login and offline attendance validation using the tablet’s built-in fingerprint scanner. |
| Notifications | To receive important work-related notifications from your employer. |
| Foreground Service | For reliable background operation for time tracking and geofencing. |
| Storage | For offline functionality and temporary storage of biometric templates for offline validation. |
| Network State | To detect connectivity and optimise performance. |
4. Biometric Data Handling
Biometric data (fingerprint templates) is stored in your employer’s on-premise PAL database. For offline validation, these templates may be securely synced to the company-provided tablet. The biometric data is used only for attendance verification on the company tablet and is not shared with PAL Solutions.
5. Information Collected by the Application
- The app connects directly to your employer’s on-premise PAL server.
- Basic tablet information (device model, OS version) is sent to facilitate communication.
- Location data is collected only when performing clocking actions and if geofencing is enabled by your employer.
- Biometric templates may be downloaded to the company tablet for offline functionality.
- We (PAL Solutions) do not receive or store your personal employment records, salary information, or biometric data unless specifically required for technical support with your employer’s permission.
6. Data Ownership and Control
All employee and HR data, including biometric templates, belongs to and is fully controlled by your employer (the data controller).
7. Limited Data We May Collect (PAL Solutions)
- License and activation information
- Support request details and correspondence
- Application crash logs and diagnostic data
- Anonymous usage analytics
8. Your Rights
Because your employer is the data controller, you should direct any requests regarding access, correction, or deletion of your personal information (including biometric data) to them. For questions specifically about PAL Solutions, you may contact us.
